Practical owner checklist

Finished the job? Check whether the invoice followed.

Completing the work and issuing the invoice are different events. A job can be finished on site while its commercial journey still needs attention.

1. Start with completed work.

Review the jobs you have recorded as complete. For each one, check whether an invoice has actually been issued. A draft invoice is not an issued invoice, and an issued invoice is not a recorded payment.

2. Check what was agreed.

Keep the approved quote, any agreed changes and the completion record together. Confirm the work and customer before preparing the invoice. Resolve unclear scope or price changes instead of silently assuming they were approved.

3. Review the invoice details.

Check the customer, description, amount, payment terms and the VAT treatment appropriate to that transaction. Your usual business default is a starting point, not proof of tax eligibility. If treatment is uncertain, check with your accountant or an appropriate adviser.

4. Check for an existing invoice.

Look at the job’s invoice history before creating another document. An invoice that has already been issued should not be recreated merely because payment has not arrived. Keep revisions and subsequent actions connected to the existing commercial record.

5. Record issuing and payment separately.

Once you have reviewed and issued the invoice, retain its reference and the agreed due date. Record part and final payments against it. An unpaid invoice is not necessarily overdue: check its due date before deciding on a payment reminder.

A simple end-of-week routine

Check completed jobs with no issued invoice, invoices with outstanding balances, and payments that still need recording. Choose the correct next action for each state. Do not treat all three lists as the same problem.
